When To Book Your Florida Wedding Vendors

It’s the question most important yet least talked about: when to book your Florida wedding vendors.  Due to the pandemic, studies are forecasting 2022 to be the biggest wedding year since 1984, totaling 2.6 million weddings. Of course, this does not take into account the inevitable last minute elopements, estate weddings and micro weddings. And wow, do our calendars sing this same tune!

Before the pandemic, it used to be quite standard to be able to book your desired venue and vendors all within a year (sometimes even less!) than the day you got engaged. Now, with the many rebooks, reschedules, times have changed. On top of all that, folks are now fully embracing the mentality that life is indeed so short and so unpredictable, so the laid back nature some used to have on getting engaged or married in general has changed. Folks are wanting to live TODAY! And what’s more? Loved ones are excited to get out and celebrate, too. Below we are sharing our advice on how and when to book your Florida wedding vendors.

The Magic Number

As wedding planners, our deepest desire for you is to have the day of your dreams alongside the vendor team of your dreams. We hate to see when a bride books her dream venue and locks in a date, only to then seek out vendors and find so many from her dream list are already booked for the date. So as a blanket number, we encourage you to book two years out. You may be able to get away with a year and a half, but if you are opting for a weekend wedding, we definitely encourage you to think more along the two year mark. If you are wanting to say “I do” as soon as possible, we absolutely recommend a weekday date.

On top of that, when considering a date, do a check with the MUST HAVE vendors on your list for the date you are considering before locking in a venue date. This will save so much unnecessary stress and heartache. And of course, the absolute first booking you need to make is with a wedding planner local to the area you are set to be wed in.

One Last Note…

As a Florida Keys specific note, booking vendors far enough in advance is even more important. This is because top destinations like the Florida Keys have limited supply but immense demand. The incredible wedding vendors are absolutely here–but they are all in extremely high demand on this little spot of land! If all of this is overwhelming you, don’t let it. Let it spur you on to have these chats with your spouse to be and loved ones, get a general idea of what you are working towards in time of year, area, etc. And next? Florida Keys bride and groom Andrew and Olivia said “I do” on a wondrous winter day last December. Working with them granted a joy that still puts a pep in my step when I think about them and their day! I could not wait to share their story with you. Who better to tell that tale than the lovely new Mrs. herself? Below, bride Olivia shares their story and all the details on their beautiful Baker’s Cay wedding day.

What made you select the Florida Keys as the beginning of your forever?

“I  had recently moved back to Indiana and moved in with my parents while I figured out where I wanted to live. Andrew lived about 4 minutes away from my parent’s house. However, we actually met on a dating app. Our worlds would have never crossed if it weren’t for technology and for that, we are very thankful. We immediately hit it off and were forced into a couple of weeks of FaceTime calls as we were both traveling or out of town. We were finally able to meet in person and have been inseparable ever since. He truly is my best friend. 

We had decided that we would like to do a destination wedding after visiting some venues in Indiana and nothing had really peaked our interest. We wanted to choose a place where we would want to visit again and again. Andrew suggested the Keys, and I had honestly never even been. He has always been a dreamer, and I liked the idea of a wedding on the beach, so we decided to fly down to Florida. We toured venues for 3 days straight, and eventually decided on Baker’s Cay due to the uniqueness of the property. It was beautiful and gave me all the feels when we toured the property.”

How did you envision your Florida Keys wedding day?

“We really wanted a romantic and intimate wedding. We knew we were going to have a smaller crowd as this was a destination wedding, so we thought something more intimate would be perfect. Therefore, I leaned more towards soft pink, white, blush, and cream colors. I think both reception spaces (lol, thanks rain) turned out beautiful and matched the vision we were going for.”

What was your favorite part of the big day?

“The first look! I know a “first look” isn’t the most traditional thing to do, but I have never really been “traditional”. It was important to me to see Andrew before we walked down the aisle to get those final nervous butterflies to go away. I only wish I had seen him earlier in the day so I could have eaten! 🙂 It was so nice to spend a few moments together prior to the ceremony, and he even brought champagne with two beautiful glasses in an engraved wooden box with our wedding date carved into it. Now we have that box in our home to remind us of our special day.”

Where did you find your gown, groom + groomsmen and bridesmaid dresses?

“My mom and I decided to randomly go dress shopping one day at Luxe Redux Bridal Boutique in Indianapolis, and I tried on about 10 dresses and decided that this was the one. I cried when I put it on, and thought it would match our romantic vibe perfectly. I have not really seen many dresses like it! Bridesmaid dresses were purchased through Birdy Grey and I highly recommend them. Such great customer service and very affordable dresses. The groomsmen were traveling in from multiple different states, so we rented suits from Men’s Wearhouse.”

What advice would you give to couples currently planning a Florida Keys wedding?

“2020 was a year for all of us! There are so many things out of your control with the pandemic, but this honestly was one of the best days ever! Nothing is ever going to be perfect! Did it rain? Yes. Did we have to move inside and not get to use our farm tables and chairs? Yes. BUT, I got to marry my best friend and at the end of the day, that was all that mattered. Plus, Olivia made sure everything went smoothly and I knew we were in great hands if things couldn’t go exactly as planned. Enjoy every moment because it seriously goes by so fast!”

How to Achieve Wedding Budget Bliss

One of the very first things we discuss with our couples is often their most worrisome topic: their wedding budget.

But no matter the budget, we have found that the reason for the worries is always the same. Couples feel compelled to stay in line with the standard wedding day “traditions.” Sure, mom, Aunt Sue, and even your sister may have gone big on florals. Maybe your best friend had the most show-stopping tiered wedding cake. Maybe your childhood neighbor spent an exorbitant amount of her budget on her ballgown.

But what about you?

What if you don’t care as much about these items? What if you and your spouse to be care more about the perfect wine pairings, music that gets your loved ones grooving, and a meal that leaves a lasting impression on everyone’s taste buds?

All of this is perfectly wonderful and perfectly welcome. Why? Because Aunt Sue’s day was unique to her heart’s dreams. Your childhood neighbor admired Cinderella her whole life, so dressing the part on her wedding day thrilled her soul. And just the same, whatever your priorities are, they’re beautiful and unique–just like your love story.

Once we have this heart to heart with our couples, we comb through their top wedding budget priorities. Let’s say you’re dreaming up luxury florals, but aren’t too concerned about the linens and attire. From there, you can tweak your budget to allocate more of your budget to florals, only leaving what is necessary for attire and linens.

Go big on what matters most to you two.

Do not let the traditions of the past, Aunt Sue’s big day, or anything and anyone else make you feel like you need to spend X amount of your wedding budget on a cake if you don’t really desire one. Want a bit more detail? We are all about the details, too! Below, we will list out specific areas and how to cut back in each one.

Florals

Reduce & reuse! Dreaming up a dripping floral arbor for your ceremony, while also wanting a swoon-worthy sweetheart table? Chat with your florist and planner about an arrangement that can be utilized for your arbor, and then moved over to your sweetheart table for your reception. Also consider whatever florals line your aisle being reused for your welcome table, accents at the bar, etc. For your bridesmaids, instead of a full on bouquet, you can opt for a smaller nosegay. We also love the elegant trend of single flowers being walked down the aisle. For your reception and cocktail hour, candles can be key. A simple pillar candle with some greenery can leave as much as if not more of an impression of a full on arrangement.

Sweet Treats

This one is easy as pie. Truly! If your heart isn’t set on a tiered cake, your options are endless. Being in the Florida Keys, you can opt to serve your guests key lime pie, guava cheesecake, or offer an ice cream bar for a cool down experience. Other options include assorted cookies, or a small cake with cupcakes. If you do have your heart set on a traditional cake, but don’t quite have the wiggle room for it, talk to your bakery about a buttercream tiered “fake cake”; with the bottom tiers fake and the top tier real for your cutting moment. After the top tier is cut and the photos are snapped, you can serve your guests sheet cake instead of the more costly tiered cake. They’ll never know, we promise.

Wining & Dining

If neither one of you are big drinkers, we always recommend opting for the lowest bar package your venue or catering company offers. Being in the Keys, the offerings even on the lowest packages are all excellent choices. If your venue charges extra for a champagne toast, opt to cut the toast from your price per person cost, and encourage your loved ones to raise whatever may be in their glass at the moment. With the sight of you two in their vision as they sit back and enjoy the Florida Keys, we promise, they won’t mind.

For food, ask your venue or catering company about stations. Sometimes, they will offer an assortment of different food stations. Pairing these together can be more cost effective than a buffet package. If you’d like to stick to a plated offering, offer your guests two options to select from on their RSVP card instead of three, as this can also help cut costs. Do not be afraid to ask questions! The Keys’ chefs love getting creative, and are happy to customize whatever is needed to bring your dream to life.
